The Financial Shared Services (FSS) Sr. Billing Manager supports the billing for Kelly Education and Professional and Industrial (P&I) customers in North America (US, Canada and Puerto Rico).
This position includes directing staff to ensure work instructions specific to the department within the FSS organization are performed timely and accurately. Responsible for ensuring accuracy and timeliness of service and product delivery through performing specific standard operating procedures and, where applicable, conducting proper analysis of team member work. This position is over all Education and P&I invoicing.
Requires the ability to work independently with people of multiple grade levels throughout Kelly as well as external customers to ensure invoicing and reporting requirements are met. Research in depth business process and customer issues that pertain to the work instructions specific to the position with the objective of reaching resolutions that meet or exceed objectives with a positive financial impact to the company without negatively impacting customers. Requires the ability to understand end-to-end processes.
Provide proper training and development for employees to ensure proactive approaches, motivation and succession planning within their designated responsibility. Responsible for providing direction to staff with respect to any changes that impact the department and SOX compliance. The position must be able to interact with higher levels of management. It must provide solutions, be able to analyze workflow and justify recommended improvements, both internally and externally.
This position will also participate in Projects as a SME to offer solutions, identify potential risks and as a team member to ensure the project goals are achieved
Duties & Responsibilities
Ensure all invoicing requests sent through the FSS Standard and Non-Standard Database, requested by Operations or Account Owners are reviewed. For all requests, evaluate, define, design and implement customer requests for special invoicing, CADs and order management based on customer needs by communicating directly with all levels of US and Canadian corporate and field personnel and/or the customer.
Perform support activities for branches & other internal departments using various system tools to resolve questions regarding special billing, adjustment and secondary supplier situations or issues.
Conduct research using system reporting. Communicate to external and internal customers on any potential issues with customer billing requests and take immediate action in order to provide solutions to any challenges or changes to existing customer accounts. This includes invoicing, compliance, validation and adjustment questions. Use negotiation skills to challenge unique billing requests and encourage a billing solution that fits Kelly’s standard invoicing and allows the customer to process invoices through their systems
Ensure training and detailed written account specific instructions are provided to Billing team for all new and revised accounts prior to first invoicing generating. All new customer set ups are reviewed for verification and compliance. Set priorities and assign or reallocate resources within the department to meet customer needs, department objective and expected delivery deadlines.
Work to ensure all requested adjustments are processed timely and accurately. Ensure adjustments appear on customers' next invoicing cycle.
Manage staff workload using productivity measures (OGSM’s & metrics); develop departmental policy and procedures and communicate to staff; provide coaching and training where necessary.
Communicate corporate goals to staff. Motivate, lead, guide, develop and empower the staff to meet and exceed goals. Manage workload of staff and ensure appropriate staffing levels are maintained. Provide ongoing guidance on account management and appropriate actions. Responsible for establishing performance review goals, conducting performance reviews and providing career coaching and counseling
Participate in Projects as a SME to offer solutions, identify potential risks and as a team member to ensure the project goals are achieved
Bachelor’s Degree in Accounting, General Business or Finance preferred, or equivalent work experience.
8 - 10 years’ experience in Accounting, Audit, Billing, Finance or Business, with at least 5 years of leading and managing teams/staff who work on large or complex projects or processes. Preferred knowledge of Audit, Financial Shared Services, Middle Office, Finance.
Must have a minimum of Intermediate Microsoft Excel skills and familiarity with etools and technology. Contract Compliance – ability to read/interpret and understand, and be able to enforce FSS standard operating procedures.
