The position provides project management and analytical support to the RPO Operational Excellence team on a global basis. Working within a collaborative, matrix environment, this role assists in the execution of new client implementations, operational excellence initiatives, and program-specific projects across multiple regions. The PMO Support Analyst works alongside senior project managers, client stakeholders, functional Centers of Excellence, technology subject matter experts, and global operational teams to support activities critical to the RPO practice. These activities include assisting with new client implementations, supporting process improvement initiatives, and contributing to governance activities such as compliance audits, tracking program delivery performance, documenting process optimization opportunities, and supporting continuous improvement efforts.
The Project Manager is accountable for:
- Support the end-to-end implementation & governance process for RPO new client implementations, operational excellence initiatives, or consulting engagements. Responsibilities may include maintaining and updating detailed project plans, tracking milestones and timelines, preparing weekly dashboards, conducting project tollgates, managing risks, leading project meetings, and providing overall project oversight.
- Support the building and maintenance of relationships with clients, internal stakeholders, operational teams, functional support groups and Centers of Excellence (COEs) throughout client implementation or internal projects.
- Apply developing Subject Matter expertise knowledge and support a consultative approach across the following areas:
- Technology: support activities involving recruitment technologies such as ATS (e.g., Workday, Taleo, Oracle (ORC), SuccessFactors, iCims, etc.), CRMs, scheduling software, AI tools and more. Assist in documenting current capabilities and flagging opportunities for enhancement or improvement. Demonstrate the ability to become certified in relevant technology platforms (e.g., Sevayo Insights & AI).
- Process Development & Documentation: Participate in process planning sessions with client stakeholders and internal groups to support the design of operational processes and assist in developing required documentation, including current and future state process flows, work instructions, job aids, and recruitment templates.
- Change Management: Assist in coordinating with internal and/or external stakeholders to support the execution of change management strategies and communication plans, helping to ensure adoption among key stakeholder groups for related project activities.
- Training: Support the coordination of training activities with internal and/or external stakeholders, contributing to the development of training materials and communication plans to ensure adoption among key stakeholder groups.
- Stabilization & Post Launch Support: Assist in developing and executing plans to provide operational support after go-live, as needed, based on the complexity and requirements of the implementation.
- Collaborate & coordinate with cross-functional and global teams to help ensure appropriate subject matter expertise is engaged during client implementation or internal initiatives.
- Operational Governance: Monitoring of ongoing program delivery performance through compliance audits, document opportunities for improvement and process optimization, and assist operational teams in tracking action plans resulting from audit findings.
Essential Skills, Knowledge, and Experience:
- 1-3 years of experience in project coordination/management, PMO support, or talent acquisition operations; RPO experience a plus
- Bachelor’s degree preferred. In lieu of a degree equivalent work experience in recruitment, talent acquisition operations, or consulting
- Ability to travel occasionally for related activities or other work-related purposes
- Flexibility to adjust work schedule to meet project demands of working in a global environment
- Proficiency with MS Office suite (Word, Excel, PowerPoint, Visio)
- Proficiency with project management technology (Smartsheet preferred)
- Technical aptitude for learning new technologies and systems
- Ability to be agile, innovative, strategic with the capability to quickly pivot to meet business demands
- Effective time management and organizational skills to handle multiple projects simultaneously
- Strong critical thinking and active listening skills to evaluation situations and develop sound solutions that meet the objectives of internal and external clients
- Ability to autonomously, thrive in ambiguous situations (“work in the grey”), and prioritize based on business needs.
- Cultural awareness and ability to work effectively cross countries and globally
- Professional English proficiency, with strong written and verbal communication skills
