Key Responsibilities:

 

  • Manage and maintain the CEOs business and personal schedule, including scheduling meetings, conferences, and travel.
  • Coordinate logistics for internal and external meetings and events, including materials, technology setup, transportation, and catering.
  • Handle financial and accounting matters for the executive with discretion, including expense reports.
  • Act as the primary point of contact between the CEO and internal/external stakeholders, including clients, partners, and employees.
  • Conduct research and compile data as needed for various projects and initiatives.
  • Handle confidential information with discretion and maintain strict confidentiality at all times.
  • Prioritize and manage multiple tasks simultaneously, ensuring deadlines are met and projects are completed accurately.
  • Anticipate the needs of the CEO and proactively address them to facilitate their workflow and productivity.
  • Perform general administrative tasks such as greeting our guests, managing correspondence, and filing documents.
  • Other duties may be assigned, directed, or requested.
  • As a family-owned business, the role will also be responsible for personal activities to support the CEO that are not directly related to company activities, such as charitable undertakings, scheduling services and appointments, managing personal travel needs, and any other projects and duties as assigned.


Requirements:

 

  • Bachelors degree preferred.
  • 8+ years of experience as an Executive Assistant or similar role, preferably supporting C-level executives.
  • Exceptional organizational and time-management skills.
  • Interpersonal skills: The individual maintains confidentiality, remains open to others ideas, and is willing to try new things.
  • Oral Communication: The individual speaks clearly and persuasively in positive or negative situations.
  • Written Communication: The individual will make spelling and grammar edits, present numerical data effectively, and can read and interpret written information.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Teams, Outlook) and other relevant software applications.
  • Ability to maintain confidentiality and exercise discretion in handling sensitive information.
  • Flexibility to adapt to changing priorities and work effectively in a fast-paced environment.
  • Strong attention to detail and accuracy in all tasks.
  • Ability to work independently with minimal supervision while also functioning as part of a collaborative team.
